Activities

Define the activities for people to sign in/out and make history.

Access Activities from Tools or by appending /activities to your KeepnTrack URL.

It’s important to set up activities so that visitors can sign in to your kiosks!

Actions menu

  • Remove activity. Permanently delete this activity from kiosks. History (reports) will still show this activity name.
  • Duplicate activity. Make a copy of the activity for a different purpose.
  • Activity Name. Required. This is the text that shows on the button in kiosks. Be descriptive, but don’t make it too long.
  • Site. The site this activity will show at.
  • Role. The role this activity will show for.
  • Transaction Type. Choose if visitors will be expected to sign in and out.
    • Untimed. When an activity is Untimed, users will automatically be signed in/out. Use this when you expect visitors to only come to your kiosk once (on either sign in or sign out).
    • Timed. When an activity is Timed, KeepnTrack expects the visitor to sign in and out. Visitors who have signed in but don’t sign out will automatically be signed out after 24 hours.
  • Minimum Minutes Awarded. Minutes awarded is used when it exceeds the actual duration of the visit. This is usually only important for volunteers.
    • For a Timed activity, this means if a volunteer was signed in to this activity for 2 hours, and if minutes awarded is 240 (4 hours), they will be shown as having 4 hours for that visit. On the other hand, if minutes awarded is 60, then, in this case, they will be shown as having 2 hours.
    • For an untimed activity, there is no ‘actual’ duration, so minutes awarded will be the only time shown (in this example, 2 hours).

Timed or Untimed?
Many operators prefer Untimed activities for regular visitors, and only care about Timed activities when it comes to volunteers. However, be aware that the ‘Who’s here now’ report can only be truly accurate if you are using Timed activities. i.e. KeepnTrack can’t tell if somebody has left the building unless they sign out!
