Reports

Get history data, volunteer hours, user info, and more.

Access Reports from Operations or by appending /reports to your KeepnTrack URL.

Create new reports from our pre-existing templates, set them up, and save them to use when you need them.

Create a new report

Use the plus (+) icon in the top right to create a new report from a template.

Available reports:

Report Overview

Use the Overview tab to enter a descriptive name for this report. For example, “Student Information – EVE Graduated”. You can also keep notes to help you and other operators understand your purpose for this report.

Report Selections

Every report has selections that determine which records the utility applies to. You will only be able to view records at sites that you have access to.

Wait, is it “Location” or “Homeroom”?
KeepnTrack lets you customize terminology, so there is the ‘technical’ field term that we use in our documentation (e.g. Location), as well as ‘common’ terms we sometimes refer to (e.g. Homeroom). These may be different from the term you use.

Report Options

Some reports have additional options such as sorting, format, and more.


Student Information report

This report offers a quick summary of student academic information, with additional formats for contact information and logged activity.

Selections

Select by site, date added, and the student location (homeroom) or level (grade).

Options

Sort the report, usually by name or grade.

Report Example

User Visit Summary report

A quick summary of a user’s total hours and visits for a given selection, with additional logged activity.

Selections

Select by site, a specific activity, a date range for when the activity occurred, and role (e.g. Volunteer).

Options

Sort the report, and pick a format (Standard or Brief). If you want the breakdown of activity for each user, check the box to Include Activity Table.

Visit History report

A history of sign ins/outs from selected activities, sites, time periods, etc. Run with the default setting to generate a history report of the current day for your site.

Selections

Select by site, a specific activity, a date range for when the activity occurred, and role (e.g. Volunteer).

Options

Sort the report, usually by Activity or Name.
